About the Role
The Administrative Receptionist is responsible for providing front office operations support for a specific FTI office location. This position's responsibilities are split between providing general office support, e.g. , reception, supply ordering, meeting arrangements, etc. and administrative support, e.g
What You'll Do General Office Support:
• Answer, screen and forward incoming telephone calls.
• Greet external customers, visitors and vendors and maintain security log. • Maintain and publish office phone list, floor plan.
• Conference room calendar maintenance and scheduling of meetings to include room arrangements, teleconference/Web-Ex set up, catering and clean up.
• Order office and break room supplies for entire office, including maintaining supply inventory, stocking break rooms and supply rooms.
• Maintain general organization of common/shared office and kitchen areas.
• Coordinate pickup and delivery of incoming and outgoing mail and deliveries such as USPS, FedEx, UPS, couriers, etc.
• Place Property Management work orders as requested for maintenance issues.
• Maintain and organize files and records including archiving of company materials.
• Assist with operations related activities for on-boarding new hires.
• Assist with coordination of company-wide events and social activities.
• Liaison with Information Technology Group submitting support/equipment requests.
• Communicate office wide announcements.
• Participate in the local emergency or Fire, Life Safety team. Administrative Assistant Support:
• Provide assistance with travel arrangements, expense reports, weekly time reports, and manage schedules of Management team.
• Answer routine correspondence without supervisory review.
• Edit and create presentations, reports and spreadsheets.
• Provide assistance as requested for all departments.
BASIC QUALIFICATIONS:
• Minimum of 2 years administrative and/or operations experience PREFERRED SKILLS:
• Accurately proofread documents for both clarity and grammatical errors.
• Self-assured and professional demeanor.
• Proven ability to work with confidential information.
• Strong team player.
• Strong communication skills.
• Associates Degree.
• High level of proficiency in software applications such as Microsoft Office 2007, Windows, and Internet Explorer.
• Extremely detail-oriented and organized with ability to manage multiple activities with minimal supervision.
• Demonstrated ability to take initiative and interact with all levels of management.
• Works well in a team environment and collaborate with internal and external resources.
• Self-starter who is adaptable in an ever-changing environment.
• Understand office policies and procedures and ensure they are communicated and followed.
• Strong verbal and written interpersonal and communication skills.
• Excellent organization and time management skills.
• Ability to lift up to 50 lbs.
• Excellent typing skills.
