Work closely with Billing Timekeepers (BTK's) throughout the project lifecycle with primary objectives of:
Reducing Days Sales Outstanding (DSO) Ensuring timely, accurate and professional invoices are sent to clients Reducing the amount of time billable professionals spend on project management administrative tasks

Matter Setup
- Confirm accuracy of invoicing contact from LOE
- Document any custom instructions in the LOE re payments
- Pull LOE/SOW from Salesforce and upload to Clarizen
- Make initial contact with LOE signatory designated to receive and approve invoices
- Associate Unit Services in UBIS and update pricing
- Document payment terms other than 30 days
- Add tasks, invoice template, and Biller to matter number
- Request activity code set-up
Prepare and Send Invoice to Client
- Invoice retainer consistent with LOE
- Insure accuracy of data in proforma/draft invoice, e.g.:

- Invoiced rates are consistent with LOE
- Exception rates requested by BTK are accurately reflected
- Tax calculation is accurate where applicable

- Ensure compliance with clients' e-billing systems and MSA or other client-driven terms and conditions; troubleshoot e-billing system to insure invoice acceptance
- Ensure necessary client notice has been provided when rate increases are affected
- Edit narratives for spelling, grammar, consistency with narrative guidelines
- Review activity codes/task codes for consistency/accuracy
- Employ appropriate formatting and ensure professional presentation
- Send draft invoice and WIP Excel to BTK
- Process write downs/ups as required, with proper approval
- Input BTK edits
- Finalize/send invoice to client, including e-billing system as applicable, with BTK approval
- Monitor bounce backs and troubleshoot
- Archive all approvals required for control/audit purposes in engagement folder on server
Ongoing Project Management
- Ensure receipt of retainers billed
- Review aging WIP and A/R; prompt billing and collection; follow up as requested with clients directly for timely collection
- Review application of payments to matters for accuracy
- Apply retainer to last invoice, refund any credit balances, and close matter
Additional Duties:
- Continuously monitor our processes for improvement opportunities and escalate ideas and suggestions to management
- Additional duties as required
Skills Required:
- Excellent communication skills, including verbal and written
- Attention to detail
- Good working knowledge of PC and network environment, word processing, database and spreadsheet software (MS Office preferred)
- Basic budget management skills
- Good interpersonal skills, including being a team player with capacity to work with diverse team members
- Organizational skills, including ability to prioritize
- Flexibility - ability to work under tight deadlines; ability to handle multiple tasks through prioritization and time management skills
- Proficiency with Salesforce, Elite, and Carpe Diem is a plus
- Proficiency with electronic billing (use of various sites and uploading invoices to them) and LEDES files.
Education/Experience Requirements:
- High School
- 5+ years of corporate or legal billing experience
