Title: Program Administrator, DEI Department: Department of Diversity, Equity, and Inclusion Reports To: Program Director, Diversity Initiatives Work Schedule: Full Time Job Summary The Program Administrator, DEI serves as the primary support professional for diversity initiatives to enhance the general medical education community. This role serves as a resource and first line of support for the administrative and logistical needs of the Program Director, Diversity Initiatives and the Program Coordinator, DEI. Additionally, the Program Administrator, DEI coordinates the scheduling of Equity
Matters course content and serves as a technical backup to the Program Coordinator, DEI. Primary Duties and Responsibilities Routinely perform a wide variety of support duties. Handle printing, faxing, mailing/overnighting packages, copying, filing, and email/messages. Sort and triage mail; maintain email for Equity Matters mailbox and others when requested. Compose and prepare routine correspondence. Schedule meetings; assist in the preparation and distribution of meeting agendas and materials. Support the maintain of the ACGME’s diversity, equity, and inclusion outward image, including with content on the website, blogs, etc. Transcribe source material and prepare documents, reports, tables, and charts; distribute as appropriate. Prepare, reconcile, and submit expense reports. Maintain paper and electronic filing systems. Maintain confidential and sensitive information. Attend meetings and take notes of discussions; prepare initial drafts of minutes and summaries. Complete a variety of
special projects, including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda materials. Coordinate efforts with other departments as needed. Perform other duties as assigned, including supporting the employees and leaders of the department. Other duties as assigned. Education, Knowledge, Skills, and Abilities Required Three years’ experience providing program/project support Three years’ experience in customer service Strong interpersonal, verbal, and written communication skills Superior organizational and workflow management skills, as well as proven project management skills Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint and Adobe Acrobat Preferred Bachelor’s degree in a relevant field Knowledge or experience in diversity, equity, and inclusion programming Masters’ degree in a relevant field Previous experience in accreditation, medical education, allied health, or hospital administration Technical writing experience Equipment Position
requires the significant use of standard office equipment, such as a computer, keyboard, mouse, photo copier, fax machine, telephone. Working Conditions Most of the work of the Program Administrator, DEI is normally done in the ACGME office with the typical physical demands of an office environment. During the COVID-19 pandemic, ACGME employees are working remotely until further notice. The Program Administrator, DEI will need to be able to efficiently and effectively work remotely. While performing the duties of this job, the Program Administrator, DEI: Will frequently be required to participate in meetings via Zoom or other video conferencing platforms. Note, this is particularly
relevant while working remotely. Will frequently be required to sit in meetings for long periods of time. Will frequently be required to sit and work for extended periods of time at a computer terminal using various computer programs and other computer tools.
