Title: Applications and Data Coordinator Department: Department of Information Services Reports To: Manager, Applications Support Work Schedule: Full Time Job Summary The Applications and Data Coordinator supports the annual data collection efforts of the ACGME, including internal and external user support and consultation for the Accreditation Data System (ADS), Resident/Fellow Case Log System, Resident/Fellow Survey, Faculty Survey, applications for new programs, and the Milestones bi-annual reporting. Essential functions of this position include administrative support, managing the application process, assistance with survey administration and testing, and assistance with administration and performance of routine testing for the data collection systems. Applications and Data Analysis Overview The Applications and Data Analysis group in the Department of Information Services is responsible for the development and ongoing maintenance of all data collection systems that deal with residency and fellowship program accreditation and outcomes, as well as project management, quality assurance testing, analytical reporting, and support for these data systems and data acquisition tools. Primary Duties and Responsibilities Assists with the input of programs seeking ACGME accreditation through the ADS application process. Assists with Case Log year-end processing, including archiving data; makes follow-up phone calls; produces reports as needed. Provides system content and technical support; resolves issues and/or problems in a timely manner; ensures quality customer service. Monitors ADS reporting problems, pending request resolution, and data inconsistencies. Provides ADS support to internal/external users as needed, including to: Accreditation Administrators, Executive Directors, and other Review Committee staff members; program staff members (program directors/program coordinators); and institutional staff members (designated institutional officials/institutional coordinators). Assists in the implementation of the Milestones data collection system. Provides support for the Milestones and related issues. Assists in the implementation of ACGME surveys, including the annual Resident/Fellow and Faculty Surveys. Assists with and monitors scheduling of Resident/Fellow and Faculty Surveys and Milestones reporting; notifies programs about reporting timeframes; responds to customer service issues; monitors response rates; sends reminders to programs below targeted response rates, including phone call reminders. Assists in supporting programs and institutions applying for Initial Accreditation, including monitoring applications in process. Provides data reports to internal and external clients as needed. Utilizes database and software query tools to extract and assess data accuracy. Assists in resolving data conflicts. Identifies and resolves issues related to undeliverable emails. Other duties as assigned. Education, Knowledge, Skills, and Abilities Required Demonstrated competence with Microsoft Office Suite, including Word, PowerPoint, Excel, and Access. Aptitude to learn new software quickly. Demonstrated competence with commonly used internet browsers, including Internet Explorer (IE), Mozilla Firefox, Google Chrome, and Safari. Excellent written and verbal communication skills. Customer service or support center experience. Excellent analytical and problem-solving skills. Preferred Bachelor's degree and three years of relevant work experience. Demonstrated ability to work closely and cooperatively with physicians, and professional and support staff members in a team setting; must also be a strong individual contributor. Close attention to detail and accuracy of work. Equipment Position requires the significant use of standard office equipment, such as a computer, keyboard, mouse, photo copier, fax machine, and telephone. Working Conditions Most of the work of the Applications and Data Coordinator is normally done in the ACGME office with the typical physical demands of an office environment. During the COVID-19 pandemic, ACGME employees are working remotely until further notice. The Applications and Data Coordinator will need to be able to efficiently and effectively work remotely. Minimal travel may be required. While performing the duties of this job, the Applications and Data Coordinator: Will frequently be required to participate in meetings via Zoom or other video conferencing platforms. Note, this is particularly relevant while working remotely. Will be required to sit and work for extended periods of time at computer terminal using various computer programs and other computer tools. Must willing and able to travel if required.
