The following describes the various aspects of the designated job. Some or all of these aspects may be changed over time, with or without notice, at the sole discretion of the Accreditation Council for Graduate Medical Education (ACGME). Applicants must be currently authorized to work in the United States (U.S.) on a full-time basis. The ACGME will not provide employment sponsorship for this position (e.g., H-1B Visa or other U.S. employment authorization). Title: Accreditation Field Representative Department: Department of Accreditation, Recognition, and Field Activities Reports To: Senior Vice President, Field Activities Work Schedule: Part-Time (60%) Job Summary The Accreditation Field Representative participates in the accreditation of residency and fellowship education programs and Sponsoring Institutions. The Accreditation Field Representative will conduct accreditation site visits of residency and fellowship education programs and sponsoring institutions, alone or as part of a team, and prepare comprehensive, objective reports to be used by the Review Committees and the Institutional Review Committee in making accreditation decisions. The Accreditation Field Representative will study accreditation data collected by the ACGME, program documentation, and, as indicated, materials prepared or updated by a program or sponsoring institution prior to a site visit. During the visit, the Accreditation Field Representative will interview learners, faculty members, and other personnel involved with the program or institution to clarify and verify information used in the accreditation process. Following the visit, the Accreditation Field Representative will write a comprehensive, objective report, and then electronically submit it to the ACGME. The Accreditation Field Representative will participate in ongoing education programs to develop, maintain, and enhance the knowledge and skills appropriate to this task. A full-time equivalent (FTE) Accreditation Field Representative will conduct approximately 120 accreditation site visits per year over a 48-week period. A .5 FTE Accreditation Field Representative will conduct approximately 60 accreditation site visits per year over a 24-week period. Department of Field Activities Overview The Department of Field Activities is charged with organizing and overseeing ACGME accreditation site visits to programs and Sponsoring Institutions, as well as related planning, staff professional development, and quality improvement activities. Primary Duties and Responsibilities Be thoroughly familiar with current ACGME Program and Institutional Requirements; Study the Institutional, and Common and Specialty-specific Program Requirements governing accredited programs and institutions, historical information about the program to be visited, and materials prepared by a program or institution for the site visit, such as a program application document, a self‑study document, or an institutional review questionnaire. Review and interpret the program’s or institution’s accreditation data to identify areas for review during the site visit. Contact the Department of Field Activities and Review Committee team for additional information or clarification of information, as needed. Alone or as a member of a site visit team, identify and define pertinent issues from the accreditation data and other materials reviewed; verify and clarify this information during the on-site visit. Set up interviews with program and institution leaders, faculty, residents/fellows, and other key personnel. Conduct interviews; explore areas identified for review by the Review Committee or Institutional Review Committee, and verify that the information used in the accreditation process is accurate and complete, and reflective of the educational experience offered by a program to the residents/fellows, or the institutional oversight provided by a sponsoring institution. Identify and address/resolve omissions, discrepancies, and ambiguities in the accreditation data or information provided by a program or institution, with the objective of assisting the Review Committee(s) in making a determination as to whether the program or institution meets the accreditation requirements and in assessing ongoing program improvement efforts. Where appropriate, conduct audits of selected physical facilities to determine their adequacy and suitability for residency/fellowship education. Following the site visit, in a timely fashion, compose or contribute to a comprehensive, objective, factual, and non-judgmental report that assists the Review Committee or Institutional Review Committee in making an accreditation decision. Report omissions and/or discrepancies discovered between documentation prepared by the program or sponsoring institution, and the comments of the various participants in the site visit, e.g., residents/fellows, faculty members, and others. Transmit the report electronically to the ACGME offices; meet pre-established deadlines for the submission of the report and associated materials. Maintain current knowledge in the fields of education and accreditation. Keep informed about changes to the Program Requirements and Institutional Requirements, and in the process for conducting the accreditation site visit through the review of written documentation, conference calls, electronic mail, and face-to-face briefings with Review Committee/Institutional Review Committee representatives and staff. Participate in the annual professional development meetings for the ACGME Accreditation Field Representatives, and other meetings scheduled on an ad hoc basis. Together with the Senior Vice President, Department of Field Activities, design an ongoing personalized professional education program. Study and keep informed about developments in the fields of educational evaluation and medical education accreditation through workshops, meetings, and written materials. Manage an extensive travel schedule. Be willing and able to travel nationwide to carry out assigned accreditation site visits. Travel to and from program/institution sites. Perform logistical, clerical, and training functions to support the site visit process. Communicate with program and institution leaders and their support staff to make arrangements for site visits; inform program and institution leaders of the interview schedule for the site visit day and any other logistics to facilitate the visit. Make arrangements for travel and hotel accommodations. Review preliminary schedule and inform the Senior Vice President, Department of Field Activities well in advance of scheduling conflicts, conflicts of interest, vacation plans, and attendance at Review Committee and/or other professional development meetings. File expense reports and perform other required clerical tasks. Participate in the orientation of new Accreditation Field Representatives and new Specialist Site Visitors as assigned by the Senior Vice President, Department of Field Activities. Facilitate the continuing professional education of current members of the Accreditation Field Staff. Participate in ongoing efforts to improve all aspects of the site visit process. Review evaluations from program and institution leaders and Review Committee reviewers for suggestions on how to improve the site visit process and/or the reports. Share suggestions for improvement in any aspect of the site visit process with the Senior Vice President, Department of Field Activities and Associate Director, Department of Field Activities. Other duties as assigned. Education, Knowledge, Skills, and Abilities Candidate must have an MD, DO, PhD, EdD or other terminal degree. Candidates are expected to have had experience in graduate medical education (GME) as program directors, teaching faculty members, or GME administrators. A background in medical education is highly desirable. Regardless of educational background, candidate is expected to become sufficiently knowledgeable in the Requirements and the accreditation site visit process for all specialties and subspecialties accredited by the ACGME to conduct a competent site visit. Candidate must be able to meet and interact successfully with a wide range of personalities; excellent interpersonal skills required. Candidate must: be able to analyze program descriptions, understand complexities of training, and anticipate issues requiring clarification for the Review Committee(s); be able to write comprehensive and objective reports; be able to consistently meet established deadlines for the submission of site visit reports; manage a heavy travel schedule, including significant air travel; be able to work independently with minimal supervision; and, be able to function comfortably in a staff role, not as a decision-maker on educational quality, but as a fact-finder for the Review Committee(s). Equipment Position requires the significant use of standard office equipment, such as a computer, keyboard, mouse, photo copier, fax machine, telephone, etc. Working Conditions Most of the work of the Accreditation Field Representative is done outside of a typical office environment.
