Job Summary
The Exhibits and Registration Coordinator provides key administrative support for on-site educational activities and the ACGME Annual Educational Conference. This position requires strong customer service skills and the ability to learn and navigate multiple software platforms. This position will provide service to over 6,000 conference and workshop attendees, as well as up to 100 exhibitors and sponsors per year.
Department of Education
The Department of Education serves the ACGME mission through dissemination of knowledge and furthering skill development, often acting as a facilitating body serving and collaborating with other departments within the ACGME and with appropriate outside organizational and individual collaborators.
Primary Duties and Responsibilities
The Exhibits and Registration Coordinator will work with team members to support the Division of Educational Activities in the following ways:
System Support
Registration
Serves as a back-up to the Registration Specialist.
Provides customer service via email and telephone.
Exports and compiles data for weekly reports.
Processes attendee payments and refunds.
Will obtain operational knowledge of Cvent software system.
Assists in building events in Cvent.
Assists with web page development for conferences and activities in Cvent.
Regularly tests and reviews registration and attendee emails.
Grows software skills by attending annual Cvent meeting and workshops.
Attends planning meetings with Registration Specialist and Cvent.
Researches and compiles data regarding registration best practices for other conferences.
Will become familiar with legal rules and regulations to which attendees must agree each year.
Exhibits and Sponsorships
Serves as a back-up support for Senior Education Specialist.
Provides customer service via email and telephone.
Exports and compiles data for weekly reports.
Will obtain operational knowledge of Map Your Show software system.
Reviews and recommends photos and videos from previous years’ conferences to use for marketing.
Attends planning meetings with Senior Education Specialist, Map Your Show, conference decorator, hotel, and/or consultants.
Researches and compiles data regarding exhibits and sponsorships best practices and prospectus examples from other conferences.
Will become familiar with legal rules and regulations to which exhibitors must agree each year.
Assists with researching and contacting potential leads.
Collects sponsorship logos and works with consultants to produce and place sponsorship materials.
Attendee Engagement
Researches activities and networking opportunities for conference attendees.
Researches vendors, compares prices, and makes recommendation on best options.
Reviews attendee communications.
Staffs attendee activities at the Annual Educational Conference.
Researches possible prizes and coordinates dissemination of those prizes to attendees.
Assists with creating mobile app push notifications.
Workshop Support
Staffs on-site coordinator workshops.
Prepares and organizes workshop materials.
Administrative Support
Uploads invoices in Concur.
Uploads contracts in Agiloft.
Reserves conference/meeting rooms in EMS.
Prints and compiles materials for meetings.
Edits, checks, and cross-references materials and platforms.
Organizes materials and files.
Orders supplies.
Other duties and special projects as assigned.
Education, Knowledge, Skills, and Abilities
Bachelor’s degree preferred.
Two years of prior work experience with degree (six years without degree) preferred, including interaction with advanced degree professionals.
Must have excellent computer and technical skills, including expertise with Microsoft Word, Outlook, and Excel, working knowledge of Microsoft PowerPoint, and demonstrated aptitude for learning new specialized software tools.
Must have strong professional, interpersonal, and oral communication skills.
Must be extremely detail oriented with a strong sense of the need for accuracy.
Must have excellent writing skills.
Equipment
Position requires the significant use of standard office equipment, such as a computer, keyboard, mouse, photo copier, fax machine, and telephone.
Working Conditions
Most of the work of the Exhibits and Registration Coordinator is done in the ACGME office with the typical physical demands of an office environment. During the COVID-19 pandemic, ACGME employees are working remotely until further notice. The Exhibits and Registration Coordinator will need to be able to efficiently and effectively work remotely.
Some evening and weekend work may be required. This position will require travel to the Annual Educational Conference.

While performing the duties of this job, the Exhibits and Registration Coordinator:
Will frequently be required to sit and work for extended periods of time at computer terminal using various computer programs and other computer tools.
Will frequently be required to participate in meetings via Zoom or other video conferencing platforms. Note, this is particularly relevant while working remotely.
