Job Summary

The Program Coordinator, Institutional Outreach and Collaboration coordinates project activities, resources, equipment, and information in support of outreach and collaboration activities. The Program Coordinator liaises with designated institutional officials (DIOs), institutional coordinators, clinical and educational leaders, and ACGME staff members to ensure needs are met as a project evolves. This person also prepares communications, timeframes, schedules, and outreach and collaboration work products; monitors and tracks project progress and handles administrative issues that arise; and acts as the point of contact and communicates project status to all participants.

 

Department Overview

The Department of Sponsoring Institutions and Clinical Learning Environments maintains standards for institutions sponsoring graduate medical education (residency and fellowship) programs, and monitors adherence to those standards (Institutional Requirements) to help ensure the consistent delivery of high-quality graduate medical education (GME). The department’s goals include: fostering innovation and improvement in GME as it relates to Sponsoring Institutions and clinical learning environments; increasing emphasis on educational outcomes; and increasing efficiency and reducing the burden of accreditation.

 

As a component of its accreditation system, the ACGME’s Clinical Learning Environment Review (CLER) Program assesses the GME learning environment of Sponsoring Institutions and their participating sites. The CLER Program evaluates six areas of focus within the learning environment: 1) patient safety; 2) health care quality; 3) care transitions; 4) supervision; 5) well-being; and 6) professionalism. The CLER Program emphasizes the responsibility of the Sponsoring Institution for educating the future physician workforce on how to engage systems of care to improve the safety and quality of patient care.

 

Primary Duties and Responsibilities

  • Work with the Director, Institutional Outreach and Collaboration to develop and implement department projects.
    1. Assisting in the development and implementation of processes, timelines, and templates.
    2. Managing the ongoing meetings, meeting evaluations, communications, and work products related to institutional outreach and collaboration.
    3. Scheduling meetings, preparing meeting agendas, keeping meeting minutes, preparing slides, and organizing meeting logistics.
  • Manage multiple projects simultaneously, keeping participants updated on project status.
    1. Coordinate details for several Collaborative learning groups running at the same time and all of the subgroups involved in each
  • Supervise the work of the Administrative Assistant, Outreach and Collaboration.
  • Liaise with other ACGME departments to support activities related to departmental and organizational goals.
  • Maintain external relationships with health care organizations and representatives to facilitate achievement of common goals.
  • Maintain regular communication with Collaborative participants to achieve Collaborative goals.
  • Participate in meetings with ACGME staff members, DIOs, institutional coordinators, clinical and educational leaders, and other institutional stakeholders related to collaboration and project development as appropriate.
  • Research, test, and maintain online learning and collaboration tools.
  • Develop and manage strategies for performance measurement in Collaborative learning groups. 
  • Contribute to other projects as appropriate.

 

Education, Knowledge, Skills, and Abilities

  • Three to five years’ work experience providing program coordination required.
  • Bachelor’s degree strongly preferred.
  • Strong computer and typing skills required, including proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat Pro.
  • Demonstrated proficiency in use of the internet required.
  • Previous experience with file sharing and video conferencing software desirable.
  • Excellent writing and editing skills required.
  • Strong interpersonal and communication skills required.
  • High tolerance for working under stress of deadlines required.
  • Must possess a demonstrated ability to manage a workload of diverse tasks and organize and prioritize workflow.
  • Must be an enthusiastic team player with a strong work ethic and demonstrated flexibility.
  • Must be able to develop and maintain good working relationships with a variety of individuals, departments, and external stakeholders to achieve goals of outreach and collaboration.
  • Must demonstrate good judgment, common sense, and dependability.

Equipment

Position requires the significant use of standard office equipment, such as a computer, keyboard, mouse, photo copier, fax machine, and telephone.

 

Working Conditions

  • Most of the work of the Program Coordinator, Institutional Outreach and Collaboration is normally done in the ACGME office with the typical physical demands of an office environment. During the COVID-19 pandemic, ACGME employees are working remotely until further notice. The Program Coordinator, Institutional Outreach and Collaboration will need to be able to efficiently and effectively work remotely.
  • The Program Coordinator, Institutional Outreach and Collaboration must attend several out-of-state meetings per year, lasting from one to five days per meeting, rarely occurring over weekends.

While performing the duties of this job, the Program Coordinator, Institutional Outreach and Collaboration:

  • Will frequently be required to sit in meetings for long periods of time.
  • Will frequently be required to participate in meetings via Zoom or other video conferencing platforms. Note, this is particularly relevant while working remotely.
  • Will frequently be required to sit and work for extended periods of time at a computer using various computing programs and other computing tools.
  • Must be willing and able to travel. Domestic travel to the ACGME Annual Educational Conference and all Collaborative meetings is required.
