A bout the Opportunity:

Assist the CF segment CFO with review and approval duties for multiple cost related activities for segment operations as detailed below. Provides analysis for all CF NA staff expense and invoice submissions. Serves as liaison for CF operations and for all CF staff to internal accounts payable and expense reimbursement teams at corporate. Provides ad hoc assistance to CF Operations Directors and for CFO.

Primary Duties:
  • Reviews and approves all CF North America SMD & MD expense reports for compliance and appropriate allocations, for both client and non-billable costs. This process includes analysis and review with segment CFO for compliance issues.
  • Training and supervision of CF EAs for correct procedures for submitting SMD expense reports.
  • Reviews and approves all CF segment non-billable expenses, for both compliance and proper allocation details, including notification and discussion with segment CFO and segment region/practice leaders as appropriate.
  • Reviews and approves CF segment client chargeable expenses for compliance and for proper documentation, including expense category, detailed business purpose, and appropriate explanations. Performs analysis for billing and supervisory timekeepers where necessary.
  • Analysis of compliance issues, and costs over normal guidance amounts, summarization, and resulting discussion or reporting with segment CFO and/or segment leaders, practice or region leader SMD, matter billing SMD.
  • Maintaining appropriate documentation of exception approvals to be associated with the relevant expense submissions.
  • Performs summarization and analysis of CF expense and invoice reporting as required by segment CFO and/or segment leaders.
  • Reviews and approves requests for CF staff to obtain software/hardware and cell phone replacements. Ensures requests are allocated properly and within CF segment guidelines.
  • Performs analysis using data from purchasing and IT to determine practice related subscription and equipment usage and properly allocate the costs to practice P&L.
  • Provides training and supervision for CF EAs to achieve proper submission of invoices, including allocation details and appropriate split cost details.
  • Maintains working knowledge of appropriate GL codes, working with segment CFO and senior manager and communicating with general ledger support to request codes for new departments, locations or sub-practices.
  • Performs analysis of Pre-Paid account invoice coding and provides the allocation details for invoices to NACA, including working with Todd Schorr to track CF subscriptions, MSG suite payments, meeting/event payments, and other monthly allocations.
  • Reviews and approves invoices in Chrome River for CF client billable and non-billable costs, as submitted from AP, including discussion with billing SMD for billable costs when necessary.
  • Prepares weekly report of global CF new matters for segment leadership, including analysis and further research needed for follow up questions regarding revenue attribution, accrual rates, and other relevant details.
  • Assists segment CFO with preparation of invoices for FTICA and tracks monthly, quarterly and annual subscriptions and business registration related payments required for regulatory compliance.
  • Performs analysis of CF segment costs and special projects for segment CFO and/or segment leaders as needed.

Basic Qualifications and Preferred Skills:
  • High school diploma
  • 5-7 years of accounts payable and vendor disbursement experience
  • Knowledge of Elite financial system and Chrome River Expense & Invoice system
  • Intermediate to advanced Excel skills
  • Strong interpersonal and communication skills (written and verbal) needed to interact with all levels; candidate will have frequent interaction with senior level executives
  • Experience in researching and resolving transactional issues in a timely and professional manner
  • Ability to multi-task and prioritize and pivot as needed in fast paced environment
  • Excellent organizational skills; detail oriented, accurate and dependable
