About the Opportunity:
The Project Assistant will work closely with engagement leaders and managers throughout the project lifecycle with primary objectives to:
- Reduce Days Sales Outstanding (DSO)
- Insure timely, accurate and professional invoices are sent to clients
- Reduce the amount of time billable professionals spend on project management administrative tasks
- Insure:
- Retention agreement terms are captured accurately in CRM and Financial systems (e.g., rates, time & materials vs fixed fee, admin fee)
- Necessary approvals are documented and archived (e.g., exception rate approvals)
- Necessary information for billing is documented (e.g., client contact info, e-billing system and/or client requirements like inclusion of expense receipts)
- Information necessary for revenue recognition is archived
- Communication to engagement team re narrative formatting, unique client requirements (e.g., pre-approval for expenses exceeding threshold; pre-approval for use of contractors, use of client travel agent); set up required task codes
- Clarity of responsibility for payment to FTI and allocation if multiple payors
- Assist with new matter entry for conflict checking and matter opening/revenue attribution as requested
Prepare and Send Invoice to Client
- Invoice retainer consistent with retention agreement
- Insure accuracy of data in proforma/draft invoice, e.g.:
- Invoiced rates are consistent with retention agreement
- Exception rates requested by engagement leadership are accurately reflected
- Contractor/vendor invoices are valued correctly and posted accurately
- Tax calculation is accurate where applicable
- Insure compliance with clients' e-billing systems and Master Service Agreement or other client-driven terms and conditions; troubleshoot e-billing system to insure invoice acceptance
- Insure necessary client notice has been provided when rate increases are effected
- Edit narratives for spelling, grammar, consistency with narrative guidelines
- Employ appropriate formatting and insure professional presentation
- Send draft invoice in format requested by engagement leader
- Process write downs/ups as required, with proper approval
- Input invoice edits
- Finalize/send invoice to client, including e-billing system as applicable, with engagement leader approval
- Monitor bouncebacks and troubleshoot
- Archive all directions/approvals required for control/audit purposes in engagement folder on server
- Insure receipt of retainers billed
- Track project scope and budget and apprise engagement leaders of status
- Review aging WIP and A/R; prompt billing and collection; follow up as requested with counsel/clients directly for timely collection
- Insure necessary information is documented on contractor invoices prior to submission to Finance
- Prompt engagement leader to determine whether annual rate increases will be applied to matters; insure communication to client as necessary
- Review application of payments to matters for accuracy
- Provide input to engagement leader regarding risk assessment and proposed adjustments - e.g., reserving WIP or A/R over budget; collection risk; recommending allocation of billing adjustments by region/segment
- Apply retainer to last invoice, refund any credit balances, and close matter
- Additional duties as required
Skills Required:
- Excellent communication skills, including verbal and written
- Attention to detail
- Good working knowledge of PC and network environment, word processing, database and spreadsheet software (MS Office preferred)
- Basic budget management skills
- Good interpersonal skills, including being a team player with capacity to work with diverse team members
- Organizational skills, including ability to prioritize
- Flexibility - ability to work under tight deadlines; ability to handle multiple tasks through prioritization and time management skills
- Proficiency with Salesforce, Elite, and Carpe Diem is a plus
- Associate college degree or commensurate work experience
