Executive Assistant II, Insurance Services

About The Opportunity:
This position is responsible for providing administrative support to Senior Managing Directors, Managing Directors and Senior Directors in the Insurance practice in our office in Winston-Salem. The successful candidate will perform all administrative functions and will need to possess the ability to successfully balance assignments and a variety of tasks from multiple people. This role will be responsible for routine and non-routine tasks and will require independent judgment to plan, prioritize and organize workload. Candidate may interact with clients and other FTI leaders and will need to maintain absolute discretion, professionalism and confidentiality. This role will also require the candidate to possess strong written and verbal communication skills with the ability to work independently on projects and assignments from conception to completion. Candidate has to remain flexible in adjusting work schedule on occasion and be willing to work overtime, as needed. Finally, candidate needs to be dependable, resourceful and a collaborative team player.
What You'll Do:
General Administration
• Create, organize and maintain paper and electronic files, as well as contact lists, updating as needed; input new business contacts into Salesforce CRM
• Maintain multiple Microsoft Outlook calendars, identifying conflicts and resolving promptly
• Assist with new client opportunities including initial input into SalesForce and running conflict checks as well as drafting letters of engagement and assisting in producing pitch materials
• Coordinate all meeting, travel arrangements and conference calls, both domestic and international, including obtaining visas and renewing passports (which on occasion may require a very short turnaround time)
• Compose, type, edit, proofread and format correspondence and reports
• Demonstrate proficiency in using company templates for correspondence and presentations
• Sort, read and distribute internal and external mail, and complete requests for overnight deliveries, faxes, and couriers
• Compile, submit, track and renew applications for state investigative licenses
• Coordinate with internal stakeholders (Human Resources and team members) to maintain investigative subcontractor records
• Manage various Outlook distribution lists for team
Financial Administration
• Capture time and expense in applicable FTI systems such as Chrome River and Elite and apply to proper charge codes on behalf of directors and executives
• Maintain reconciliation of business expenses as needed by team members
• Assist with client billing, client invoice creation, review and revision and collection matters as needed
• Process check requests and outside vendor and contractor invoices
• Provide assistance to directors and executives with A/R and WIP-related issues, as needed
Technology Application
• Create documents, reports, spreadsheets and presentations using Microsoft Word, Excel, PowerPoint and Adobe Acrobat
• Assist in research projects by efficiently conducting online searches and providing information requested in summary form
• Ideal candidate will be proficient in Microsoft Outlook, Word, Excel and PowerPoint as well as Adobe, Carpe Diem and SalesForce
Basic Qualifications & Preferred Skills:
• 10+ years of administrative support experience
• Minimum 2 years of experience in a corporate/ law firm/ professional services firm
• Bachelor's degree or equivalent experience preferred
• Proactive and initiates projects; enthusiastically accepts new assignments and opportunities
• Perform all tasks with attention to detail and review for accuracy, and maintain confidentiality
• Ideal candidate will be proficient in Microsoft Outlook, Word, Excel and PowerPoint as well as Adobe, Carpe Diem and SalesForce
