Job Description:

InGenesis is currently seeking an Executive Assistant to work with our client. In this role, you will provide advanced administrative support to senior management and executives. This role requires a high level of discretion, organizational skill, and the ability to manage multiple priorities efficiently.

Key Responsibilities
  • Prepare correspondence, memoranda, reports, and related documents.
  • Initiate and manage routine and non-routine communications.
  • Process departmental requisitions, forms, reimbursements, and vendor vouchers.
  • Monitor and respond to priority emails in a timely manner.
  • Screen and route calls and visitors; resolve routine and complex inquiries.
  • Coordinate with lower-level administrative staff on projects and reporting.
  • Manage calendars, schedule meetings, and coordinate travel arrangements.
  • Organize and prepare materials for meetings, including agendas and minutes.
  • Oversee meeting logistics to ensure successful outcomes.
  • Maintain organized filing systems and key documentation.
  • Serve as a liaison and resource for internal departments regarding policies and procedures.
  • Perform other duties as assigned.

Minimum Qualifications
  • Bachelor's degree in a related field is required.
  • Minimum of five (5) years of relevant administrative experience.
  • Effective time management and prioritization of short- and long-term goals.
  • Strong verbal and written communication skills.
  • Exceptional attention to detail and organizational abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
